Privacy Policy

The Asiatic Society of Japan (“ASJ”, “we”, “our”, “us”) operates the website asjapan.org (the “Site”). This Privacy Policy explains what data we collect when you use the Site, how we use it, and your choices. We wrote it with Japan’s Act on the Protection of Personal Information (APPI) in mind.

2) What we collect (summary)
We operate a simple, content‑only site. We do not run ads, set marketing pixels, or sell data. We use Google Analytics 4 (GA4) to understand how people use the Site. GA4 collects:
- Pages visited, clicks, scrolls, and other event data
- Approximate location (country/region), language, device, browser, and operating system
- Referrer/UTM information and session duration
We do not intentionally combine analytics data with identifiable information.
If you contact us by email, we will receive the details you send (e.g., your name and email address) and will use them to reply.
3) Cookies and similar technologies
GA4 uses first‑party cookies (e.g., _ga, ga<container‑id>) to recognize returning visitors and to keep session state. These cookies are set by our domain and are used only for analytics.
Your controls
- Browser settings: You can block or delete cookies in your browser.
- GA opt‑out add‑on: Google provides an optional browser add‑on that prevents Google Analytics from measuring your visits.
- Consent tools: If you use content blockers or consent tools, analytics may not run until you allow it.
4) How we use analytics data
We use aggregated analytics to:
- Check that pages load and work
- See which content is read and improve navigation
- Plan updates based on overall usage trends
5) Legal basis and purpose of use (APPI)
Our purpose of use is site measurement and improvement. When we share data with service providers (e.g., Google) we do so only for this purpose. Where APPI requires consent for certain transfers or disclosures, we will obtain it or provide a clear way to opt out.
6) Data retention
We keep analytics event‑level data in GA4 for up to 14 months. Email correspondence is kept only as long as needed to handle your inquiry and for basic record‑keeping.
7) Sharing and international transfers
- Service providers: We use Google LLC (Google Analytics) as a data processor for measurement.
- Location of processing: Analytics data may be processed on servers outside Japan. When required by APPI, we will obtain your consent or take appropriate measures before transferring data.
We don’t sell personal information, and we don’t share it with third parties for advertising.
8) Your rights (APPI)
Under APPI, you can request to:
- Be informed of our purpose of use
- Access, correct, add to, or delete retained personal data
- Suspend or cease use/disclosure in certain circumstances

9) Security
We take reasonable technical and organizational measures to protect information we handle. No method of transmission or storage is perfectly secure.
10) Children
Our Site is aimed at a general audience. We don’t knowingly collect personal information from children.
11) Links to other sites
If we link to external sites, their privacy practices apply there.
12) Changes to this policy
If we make material changes, we’ll update the date at the top and post the revised policy on this page.
